Summary of the role:
We are looking for an Events Administrator, responsible for overall support of the Events team. This will include all day-to-day office administration and general support tasks pre-event, onsite and post-event. You are motivated, super-organised and proactive, who prides themselves on their excellent attention to detail, calmness under pressure and willingness to learn.
We are currently operating a hybrid model with two-three days per week in the office, located in central Bristol. Please note this is a part-time role (Tues-Thurs) pro rata, but with the understanding that hours would increase around our flagship event in the Autumn.
Key responsibilities:
Supporting the Events team during pre-planning and execution of all ITIC events:
- End to end event management, working on multiple aspects within the portfolio of international events
- Client relationships – build, maintain and manage strong relationships with core client contacts, ensuring expectations are managed at all times. Take ownership of additional client requirements.
- Stakeholder and 3rd party relationships – build relationships with stakeholders (e.g. sponsors) and other 3rd party organisations
- Development and management of the CRM system and events app alongside the events team
- Support and input within the social media and marketing campaigns
- Manage budgets, providing regular updates, ensuring accuracy, sign off and timely reconciliation
- Work closely with the in-house creative team on development of assets
- Develop project timeline with Head of Events and maintain this on an ongoing basis
- On-site event delivery – UK and overseas. Sometimes working unusual hours, weekends and evening as required
What will I need?
- Minimum of two years most recent experience related to conference and event management
- Previous experience with digital communications and various social media platforms
- Experience in using Cvent and Asana would be beneficial
- Remains calm under pressure, can manage a number of tasks simultaneously and maintains excellent attention to detail while working to tight deadlines
- Has outstanding writing and administrative skills, with competency in using Microsoft Office – Excel, Outlook, Word, PowerPoint
- Has worked on a range of events of all sizes and has a good track record of doing so
- Knowledge and working understanding of event budgets
- Can confidently respond to an event brief
- Has experience of working with a range of clients
- Has good venue and technical knowledge
- Uses their initiative and can think on their feet to provide effective solutions
